What Are Workflow Management Rules?

Workflow management rules provide an opportunity for businesses to design their own business procedures without requiring extensive programming expertise. These rules help organizations automate the process of completing tasks that must be completed, and also provide a way to identify potential issues with a process in real-time.

In the workflow, evaluation criteria determine when an action should be performed. The criteria can be based upon various parameters such as field values, record types or ownership of records, and much more. Workflow rules can be set to trigger action based on events that relate to notes in a particular module. A company could set the rule to trigger every time a note is made or modified to ensure that customer support teams can easily keep track of competitor mentions and respond quickly.

A rule can trigger an immediate action, or a scheduled action. Instant actions are activated right after the rule is activated. Scheduled actions are activated later.

The scheduled action will take place at the date and time set. The action could be an email notification, task, field update, webhook, or function. You can also choose any existing email notifications as well as tasks, field updates or webhooks that you want to associate with the scheduled action. You can also choose tags that will be used to filter recorded data to be used in this action.
